Business process management tools
Business process management tools are software applications which can help you see exactly where your business is at any given moment. You can see where the hold-ups are in your processes and react quickly to deal with them before they become major work stoppages. In fact, you can even see the problems before they occur.
These business process management tools don't come cheap, they are expensive to purchase and often require an additional outlay for hardware capable of handling the need for new applications as requirements change. However, streamlining and cost efficiencies which the business process tools provide means cost savings to a level which pays for itself in a relatively short period of time.
An example of the process management tools in use might be a supplier who is able to link inventory requirements from two or more customers in order to make a larger purchase and thereby receive a volume discount.
The software allows for graphically recording basic business processes such as paying a bill or collecting a bill. The graphically recorded processes are then translated into an application or series of application steps that can be manipulated in order to streamline, add to or subtract from existing processes. Unique to this way of processing information is the concept of thinking about the business first and then thinking about the technology.
When beginning the process of using BPM tools, it's important to start with small easily understood projects first which will have a quick payback and will also have a relatively easy learning curve. Only after the users begin to understand the concepts and feel comfortable with manipulating the date should the more complicated and long term projects be attempted.
Training is a major issue when implementing the BPM systems. Every user from the IT technical staff to the customers using the new order systems will be impacted at some level with the new software. Customers usually come around rather rapidly when they learn that there is a cost savings for the distributor, and therefore the customer as well.
Depending upon the complexity of the project, it can take months if not years to fully implement BPM software in some cases. Intensive coaching is required. The main reassurance which needs to occur is that BPM is not intended for the purpose of cutting workers' jobs. In working with an installer of this type of software, it is important to set measurable goals which will indicate what constitutes a finished project.
